Project Management
The key to any successful records management implementation is the ability to manage the project efficiently and effectively. This requires the strong skills of a Project Manager with a solid track record in managing projects from initiation to completion. OmniRIM’s Project Managers use their broad, deep experience, along with proven methodologies, to deliver our solutions rapidly and successfully in your environment. Their superior knowledge and abilities allow them to quickly find innovative solutions to your special challenges. OmniRIM assigns an experienced Project Manager (PM) to every project in order to coordinate the OmniRIM project team and manage the overall project schedule. The PM also coordinates the Discovery phase of the project and oversees configuration and implementation requirements uncovered during the Discovery phase. The PM is the prime liaison with your project management team during the project. Also, the PM confirms requirements for bar code scanners and printers, and arranges for their timely delivery at the project site.

Discovery
OmniRIM’s Discovery service entails an intensive and systematic examination of your existing records management operation in order to comprehensively document the “as is” state and the scope of work required to map this to the ideal “to be” state. During this stage, OmniRIM examines the organizations’ current business processes and plans how to map them to OmniRIM’s environment utilizing industry best practices. Also, OmniRIM reviews existing retention policies and examines how they will be utilized in OmniRIM’s system. During this phase, OmniRIM will also determine the effort required for data conversion, training requirements, and eConnector integration where applicable. Also, customization of existing reports and/or development of new reports may be identified. The results of the Discovery phase are documented and delivered in a Discovery Report.

Installation
Hundreds of clients have successfully installed OmniRIM records management solutions in their unique environments with assistance from our installation experts. Once your hardware, software and network environments are setup up in accordance with the OmniRIM system specifications, OmniRIM provides a generic version of the OmniRIM software for pre-installation in your development environment. This pre-installation will ensure compatibility and provide an opportunity for trouble-shooting potential software or hardware configuration issues prior to final implementation of the application to meet your specific requirements. For final installation, OmniRIM can provide files and support your organization with installation in your production environment, or OmniRIM can carry out the entire installation for you to reduce the burden on your IT staff.

Configuration
To ensure you receive maximum benefits from your OmniRIM records management solution, it’s essential the system is configured to fit your environment and match your specific business needs. OmniRIM’s configuration specialists ensure your records management solution is ready and configured to serve you in the best possible way. OmniRIM’s Configuration service encompasses technical requirements that must be met to ensure the successful installation of the OmniRIM software in your environment. OmniRIM Configuration experts provide information, instruction, and advice to aid your organization in setting up the hardware, database, and network environment for optimal performance of the OmniRIM application.

Data Conversion
Due to the complexity of legacy systems, the data conversion process requires a well thought out methodology for ensuring the integrity of your data. Therefore, OmniRIM’s Data Conversion service is carried out by full-time specialists who are highly experienced in records management data conversion. The first step in OmniRIM’s conversion methodology is to scope out the work that needs to be addressed. The second step is data mapping from the legacy system to OmniRIM’s system. The third step is to run scripts that actually transfer the data to the OmniRIM system. Finally, OmniRIM will review the converted data with your organization to ensure accuracy and data integrity.

eConnector Integration
To ensure successful implementation of the eConnector, OmniRIM offers an eConnector Integration Service encompassing the installation and configuration of the eConnector software module. This service includes installing eConnector-specific components and defining OmniRIM data fields in the ECM environment. OmniRIM creates a custom user interface and designs a business process workflow to allow users to input/create physical records in the integrated system. OmniRIM also sets up and configures web services, search templates, and system security for the eConnector that is suitable in the ECM environment.
