High-tech leader consolidates multiple
document handling-improves workflow. |

JAE Oregon is a world-class manufacturer of technologically advanced
electrical connectors. Electrical connectors produced at JAE Oregon's
facilities in the USA and Mexico are shipped throughout the world
for use in automotive and telecommunications industries. Both facilities
meet ISO9001 and QS9000 quality certifications, carefully audited
by Underwriters Laboratories. JAE Oregon's parent company is Japan
Aviation Electronics (JAE), Ltd., headquartered in Tokyo, Japan.
THE SITUATION:
JAE Oregon faced a number of records management challenges. JAE
Oregon was using an internally developed Microsoft Access 97®
application to handle their document control within the organization.
It was clear that this was not up to the needs of a dynamic, world
leader in technology. Specifically, JAE Oregon required a records
management solution that could manage both the original document,
as well as the locations of the multiple document's copies that
were being distributed within the various departments.
THE SOLUTION:
Working with the data management staff at JAE Oregon, JAE Oregon
originally implemented OmniRIM®
in a hybrid environment, and deployed it on a MS SQL Server 7 database.
The staff that created and managed the records utilized the Windows®
version of OmniRIM, while the casual users of the system used the
OmniRIM web based Search and Request version. JAE Oregon took advantage
of the free upgrades available though the OmniCARE premium support
program, and implemented the OmniRIM Enterprise Web-based product,
to capitalize on the new features and superior performance of the
new system.
OmniRIM Solutions supplied more than just cutting edge software.
As part of the OmniRIM deliverable, they assisted JAE Oregon by
converting and importing the multiple document types contained within
the Access 97 database into the OmniRIM application. OmniRIM Solutions
also provided the initial on-site training and installation within
their Oregon location. Once the document information was loaded
into the OmniRIM application, the OmniRIM application was primarily
used to manage the distribution of the multiple document copies
within the different departments.
THE RESULT:
JAE Oregon continues to use the OmniRIM Enterprise Web-based version
to manage about 38,000 original files, along with multiple copies
of these files within their office and facilities in Tualatin, Oregon.
Implementing OmniRIM has had a positive effect on JAE Oregon's business
processes. Now JAE Oregon staff can:
- Quickly find and manage the original documents
- Efficiently track the locations of all document copies within
the organization
- Access and use the latest version of mission-critical documents
